EUTOPIA brings together ten European universities (University of Ljubljana, University of Warwick, CY Cergy Paris, Vrije Universiteit Brussel, University of Gothenburg and Pompeu Fabra University of Barcelona, Technical University of Dresden, Babeş Bolyai University of Cluj, Ca'Foscari University of Venice, NOVA University of Lisbon) to create together the inclusive university of the future. Putting students at its heart, we invite you to share your views on inclusion, equality and diversity at the University of Ljubljana. Your participation is co-creating the university of the future.

The University of Ljubljana wants to raise the profile of EUTOPIA among its female and male students. One of EUTOPIA's important areas is inclusion, equality and diversity. The University of Ljubljana is launching an internal competition and invites students to design an innovative and creative video product on the theme of inclusion, equality and diversity at the University of Ljubljana. The selected designs will be used for promotional purposes and published on the EUTOPIA and University of Ljubljana websites. In addition to the public announcement, the winner (throughout the competition, the masculine grammatical gender is used to refer to both the male and female genders, or to the winning team) will receive a cash prize.

Write a script, film and produce a video on the theme of inclusion, diversity and equality at the University of Ljubljana. With a lot of innovation, creativity and a bit of luck, you could win a prize of €600.

You can choose between three themes - inclusion, diversity and equality at the University of Ljubljana - or you can cover all three. We are looking for an original, innovative and creative video product that represents the values of the University of Ljubljana and EUTOPIA.

Read the instructions carefully. Submitted design solutions must comply with the prescribed technical and content guidelines.

Technical and conceptual guidelines: 

  • There is no entry fee - the competition is free of charge. The video is the work of the individual and does not infringe the rights of third parties.
  • The video product must include the EUTOPIA logo, the University of Ljubljana logo (in colour or negative) and the EU co-financing logo.
  • The video product reflects the core values of the University of Ljubljana and EUTOPIA, such as fairness, openness, equality and inclusiveness. Z
  • EUTOPIA is challenge-oriented and student-centred. More information is available at eutopia-university.eu. If the video is in Slovene, it is preferable to have English subtitles below, as EUTOPIA is an international community and we want to be understood by all members.
  • Video length: maximum 2 minutes (but not less than 30 seconds)
  • Video format: MP4, AVI, MOV Suggested technical parameters: the video can be shot with a camera, mobile phone or video camera. Maximum size 500mb. Preferably the video should be 16:9 full HD (1080p) or HD (720p), 25fps, 15mbps, codec (h.264).
  • The video product must be submitted as a single file. The video can depict a story, a person, a project, etc. and can be shot in any style or genre (animation, documentary, fiction, music video, etc.).
  • If the video features third parties, these parties must sign the University of Ljubljana's consent (GDPR), which is available in the attachment to this call for proposals.

The call for proposals opens on 1 December 2023 and closes on 3 January 2024. The jury will consider all proposals submitted to the email address below by 00.00 on 3 January 2024. All proposals received after this deadline will be rejected. The winning video will be published on the University's website and social media on 10 January 2024 at 12:00.

Submissions for the competition will be accepted by email to eutopia.student@uni-lj.si until 3 January 2024 at 00:00 - as a link to WeTransfer in case of a larger file. The name of the case should be EUTOPIA Student Competition and the file name should be VIDEO PRODUCT TITLE (for example VARNA UL_NOVAK). In your application, please also indicate the faculty or academy where you are studying and a description of the video product (what it represents and any technical details/special features).

Who can apply?

Students of the University of Ljubljana; individuals, pairs or groups can apply. Only natural persons can participate, not legal entities. All you need to apply is student status, some innovation, creativity and luck!

Employees of the organiser or of the competition partner and their immediate family members are not allowed to participate in the competition. The applicant must be over 18 years of age, but there are no nationality restrictions.

Judging

If the design solutions meet the technical and conceptual guidelines, they will be included in the evaluation after the call for entries has closed. The evaluation committee will select the winning video, taking into account the message, innovation, creativity and aesthetic appearance of the proposals.

The jury will be composed of:

Nataša Poklar Ulrih (EUTOPIA Institutional Coordinator);
Nina Narat Meden (Head of Public Relations, Organisation and Protocol, Office of the Rector of UL);
Jernej Kejžar (representative of the University Arts Service); and
Iris Ivaniš (Administrative Manager of the Diversity and Inclusion workstream).

The author (throughout the competition, the grammatical gender is masculine and refers to both male and female, or to the winning team) of the winning proposal will be notified by email by 10 January 2024. The name of the author of the winning video will be publicly announced on the University of Ljubljana's website and social networks and on the EUTOPIA MORE project. The winning video product will be used for promotional purposes of EUTOPIA and the EUTOPIA MORE project.

Prize

In addition to the public publication of the video product and the name of the author at the University of Ljubljana and EUTOPIA partner universities, the winner will also receive a cash prize. The winner will receive a net cash prize of €600. The prizes will be transferred to the winner's personal account after the competition. In addition to the name of the winner, the organiser will also need the address, tax number and personal account number of the winner in order to pay the prize. The prize winner will be subsequently asked by the competition organiser to provide the information necessary for the payment of the prize.

General Terms and Conditions 

By entering the competition, the individual agrees to the following terms and conditions of the open competition, which runs until 3 January 2024:

The individual warrants that the work (video product) entered is his/her own original creation and does not contain, in whole or in part, solutions that are the property of a third party and for which the individual has not obtained the consent of that third party. The work submitted must not infringe any copyright or other intellectual property rights, nor must it infringe the provisions of the legislation in force on the protection of personal data and the personality rights of any natural person. 2. By submitting an entry, the individual transfers to the organiser of the competition (the University of Ljubljana) the following material copyright rights gratuitously, without limitation in time and geography, exclusively and with the right of sub-transfer, in particular: the right of reproduction, including electronic storage, the right of distribution, the right of public display, the right of reproduction, the right of public performance, the right of public transmission, the right of processing and the right of making available to the public. 3. The individual agrees that the Organiser may publish his/her submitted work in electronic form free of charge on the website of the EUTOPIA MORE project and the University of Ljubljana and on other promotional channels/media of the University of Ljubljana, and that the Organiser may use them for advertising or promotion of EUTOPIA, subject to the Organiser's strict observance of the individual's moral copyright. 4. By entering the competition, the individual authorises the University of Ljubljana to store and manage his/her personal data for the purposes of the competition and the publication of the results until the end of the project, which is expected to be 30 November 2026. The individual has the right to access and rectify his/her personal data and may at any time, either orally or in writing, request that the processing of his/her personal data be stopped permanently or temporarily, during the duration of the competition and thereafter. The Organiser shall ensure the protection of personal data in accordance with the applicable Slovenian European legislation governing the protection of personal data.   

Protection of personal data  

The University of Ljubljana, Kongresni trg 12, 1000 Ljubljana will process the personal data of the participants in the competition in accordance with Article 6(1)(b) of the GDPR for the purposes of conducting the competition, announcing the winner and paying the prize money. The personal data of the winner will be published on the social networks and website of the University of Ljubljana, as well as on the social networks and websites of EUTOPIA partner universities. The personal data of the winner will also be shared among EUTOPIA members. As one member university is not a member of the EU and/or EEA, the personal data of the prizewinner will be shared to a third country, if necessary. The University of Ljubljana will process the personal data of the participants in the competition until the end of the project, i.e. until 30 November 2026. After this period, the data will be destroyed.

Participants in the competition have the right to request the University of Ljubljana to exercise the right of access, rectification, restriction of processing and portability at any time.

For questions concerning the protection of personal data, please contact the Data Protection Officer at dpo@uni-lj.si. If you feel that your rights are not being exercised properly, you can complain to the Information Commissioner of the Republic of Slovenia (ip-rs.si).

 

Right of the organiser 

In the event of incomplete, incorrect or false information being provided, the Organiser reserves the right to refuse the applicant's participation in the competition or to exclude the applicant from the competition.

The applicant forfeits the right to the prize if the Organiser is certain that:

the applicant has not complied with the conditions of participation; the applicant has breached the rules and conditions of participation in the competition; the entry is in any way inadequate.
In the event that an applicant forfeits the right to the prize, the Organiser will decide whether or not to award the prize to someone else.
 

The Organiser shall not be liable for:

the (in)truthfulness of the information provided by the entrants;
any undesirable consequences that the entrant may suffer as a result of participating in the competition.
 

Final provisions 

Entrants enter the competition at their own risk. In the event of special circumstances beyond the Organiser's control (force majeure), the competition may be cancelled. It must inform the applicants of this via the appropriate media. In such a case, the organiser will not be liable for any damages suffered by the applicants. In the event of any dispute or ambiguity, these rules shall prevail. The Organiser reserves the right to amend and modify the terms and conditions of the Competition. The Organiser will keep the applicants informed of any changes to the prize competition by means of announcements on social media and on the University of Ljubljana website.
